Click your profile icon (top right)

Shows your name and a dropdown menu.

Select "Edit profile"

Opens your profile settings page.

Scroll to "Change password"

Enter your current password, then your new password twice.

Click Save

You will be logged out and asked to log in with the new password.

⚠️ First login: Change your temporary password immediately. Use at least 8 characters with letters and numbers.

How to change

Profile icon → Edit profile → scroll to Settings → choose language → Save.

Tip: If you switch to Nepali and can't find a setting, the menus are in the same position — just translated.

Browser Cache & Cache Cleaner

DHIS2 — Browser Cache Cleaner
🧹 Browser Cache Cleaner
Your browser stores copies of DHIS2 data locally to load pages faster. Sometimes this stored copy becomes outdated and causes issues.

🧹 Clear All Cache Now
App menu (⊞) → search "Cache" → Browser Cache Cleaner
What is browser cache? Your browser saves a local copy of DHIS2 pages and data to load faster. But when the system is updated or your access changes, the old copy can cause confusing errors.

When should you clear cache?

• Dashboards show old or blank data
• Forms or apps behave unexpectedly
• After your role or group was changed
• After a system update

How to clear it — DHIS2 way

App menu → search "Cache" → open Browser Cache Cleaner → click Clear All. Then refresh the page.

How to clear it — browser way

Press Ctrl + Shift + Delete (Windows) or Cmd + Shift + Delete (Mac) → clear cached images and files.

Open the Data Entry app

App menu (⊞) → click Data Entry.

Select the Dataset

Choose "Health facility data collection tools" from the dropdown.

Select your Organisation Unit

Pick your assigned ward or health facility from the tree.

Select the Period

Choose the correct month and year you are reporting for.

Click a cell and type the number

Press Tab to move to the next field. The cell turns green when saved.

Data saves automatically

Each cell saves when you move away from it. You don't need to click Save for each row.

Click "Complete" when finished

This marks the form as fully submitted for that period. Do this only when all fields are filled.

⚠️ Do not click Complete until all data for that month is entered. Completed forms are harder to edit.

Editing a Previous Entry

Open Data Entry and select the same dataset, org unit, and period

The previously entered values will appear in the form.

If the form shows as "Completed" — click Incomplete first

The Incomplete button appears at the top. This unlocks the form for editing.

Edit the values you need to change

Click the cell, clear the old value, and type the correct number. It saves automatically.

Click Complete again when done

Re-submit the form once all corrections are made.

Can't edit? If the period has expired (past the submission deadline), only a Superuser can reopen it. Contact your system administrator.

Open the Capture app

App menu (⊞) → click Capture.

Select your Organisation Unit

Use the org unit selector at the top to choose your assigned location.

Select the Programme

Choose from the list — only programmes your group has access to will appear.

Don't see your programme? You may not be in the right User Group. Contact your administrator to be added to Capture Entry Community Group or Capture Entry HF Group.

Click "+ New Event"

Button appears at the top right of the programme's event list.

Fill in the event date

Enter the date the visit or assessment took place — not today's date if different.

Fill in all required fields

Fields marked with * are mandatory. The form won't save without them.

Click Save Event

The event is saved and appears in the event list.

Use the search bar

Filter events by date range or other fields to find a specific record.

Click Edit on any row

Opens the event form with existing values. Change what you need and save.

📱

Works on mobile too

Open the DHIS2 URL in your mobile browser. Events save even with slow connection — data syncs when internet is restored.

User Management

Creating, editing, and managing user accounts in DHIS2

Find the user → click ✏️ Edit

Scroll to the Password field

Enter a new temporary password and Save

Share the new password securely with the user

Disable a User

Find the user → click ✏️ Edit

Find the "Disable" toggle or checkbox

Enable it and Save — the user cannot log in anymore

To re-enable: repeat and uncheck the disable toggle

⚠️ Tip: Disable users who leave the programme — do not delete accounts. Disabling keeps the data history intact.

Common Gotchas

The most frequent issues and how to fix them

Everyone

🚧 Issues & Quick Fixes

❌ Dataset not visible in Data Entry app
You are not in the right User Group.
Fix: Ask your admin to add you to Dataset Entry Group. Then log out and back in.
❌ Programme not visible in Capture app
Your group doesn't have access to that programme.
Fix: Ask your admin to add you to Capture Entry Community Group or Capture Entry HF Group.
❌ Form is locked / can't edit
The period may have expired or the form is marked Complete.
Fix: Click Incomplete to unlock it. If period expired, contact Superuser admin.
❌ Health facility not in the org unit list
Your account is not assigned to that facility.
Fix: Ask admin to edit your account and assign the correct Organisation Unit.
❌ "You don't have permission" error
Your role doesn't allow that action.
Fix: Contact admin. You may need a different role or your role may need additional authorities.
❌ Forgot password / locked out
Too many failed attempts locks your account.
Fix: Contact a user manager (partner1–4) or admin to reset your password.

How to Log Out Properly

Click your profile icon (top right corner)

Shows your name and a small dropdown menu.

Click "Log out"

You will be taken back to the DHIS2 login screen.

Close the browser tab

Especially important on shared computers.

⚠️ Shared computers: Always log out after your session. Never leave DHIS2 open and unattended.
💡 Session timeout: DHIS2 automatically logs you out after a period of inactivity. Save your work frequently.
